INTERNSHIP PAPER

 

The purpose of the Internship paper is to provide a report of your internship experiences and to provide you with an opportunity to refine your written communications skills.   This paper should be of interest and importance to the preceptor and the organization, as well as a valuable learning opportunity for the student.  This report will remain confidential as it may contain information proprietary to the organization.  You should not show this paper to anyone other than your preceptor and the Internship Coordinator unless you obtain permission from your preceptor.

 

The intent of the paper is to demonstrate the knowledge you gain from your experiences at the organization.  You should expect to discuss your experiences with the management and organization of the firm, the technical aspects of the organization’s operations, any project or problem that you address during the semester, the culture and community relationships of the organization, and the personal management aspects of performing the internship.

 

You should consider using the responses to your reflective journaling questions as content for this paper.  Those questions as well as documentation of your experiences will provide a comprehensive documentation of the internship activities.

 

Management and Organization

 

This paper should address the nature and structure of your internship organization.  You should demonstrate that you have learned about the organization regarding its size, structure (an organization chart should be an important tool), location, the services it provides, and how it finances its services.  You should discuss how the organization develops its strategic and business plans, organizes its work, directs its employees, and evaluates and controls what happens in the operation of its business.  Who are the patients or clients of your organization?  How do they pay for services (Medicare, Medicaid, commercial insurance, self pay)?

 

You should also discuss how decisions are made in the organization.  Are decisions made by dictatorial command or does the organization use a more democratic process?  How are managers used to relay business plans and how is work assigned and performed?  How are employees assigned work and how is their performance evaluated? 

 

Technical Operations

 

You should understand and be able to discuss the technical aspects of the organization’s business.  Focus only on the areas where you have spent time but you should also understand how that area of the organization fits within the entire organization.  If you are in an ambulatory surgical center you should understand the technical aspects of surgery: scheduling, prepping patients, surgical instruments and equipment, creating a sterile field, post anesthesia processes, and recovery.  If you are in the billing office of a firm, you should be able to discuss the process of coding charts, establishing appropriate charges, submitting charges to payors, and collecting processes needed to assure that the bills are paid.

 

Project Activities

 

If you worked on a specific project or problem, the aspects of that project should be discussed in this section.  The subject should be an applied problem, for example, complying with a new policy, correcting systematic errors in billing, developing a proposal for a new service, or creating a staffing solution for a care process.

 

If you were able to work on a service project that had impact on the community explain how the organization is connected to the community in a way that caused the interest in the service by the organization.  What service was provided to the community?  How was that service coordinated in the organization?  Who was involved? Was the project mandatory or volunteer for those in the organization that worked on the project?  What was your role in the project?  How did you feel about this experience?

 

Personal Management

 

For many students, this is their first work experience.  The internship opportunity gives the students the chance to operate in a situation where they are expected to be at a specific job for a specific time.  They must meet deadlines.  And they must present a professional demeanor that demonstrates their appreciation for the work opportunity and dedication to the field of healthcare.  Most healthcare professionals have more responsibilities and obligations than they have time to complete so they use tools and delegation to complete their work.

 

In this section you should discuss the work requirements of the job and your response to those requirements.  This should include any planning you did to meet the requirements, any tools such as a PDA, calendar, or other materials that helped you maintain your commitments, and any problems you experienced in fulfilling your obligations. You should also discuss how others, including your preceptor, respond to the many obligations and requirements of their jobs, including how work was delegated to assistants, secretaries, etc.

 

Every organization has a unique culture.  This affects how people interact, how they do their work, how they get through the day.  It can affect how people relate after work hours.  You need to discuss the organizational culture with your preceptor and try and notice how people in the organization respond.

 

 




Report Outline

 

The format of the paper is somewhat flexible and will depend on the type of subject and the perspective you take.  But in general, it should include the following:

 

 

 

A.    Title page.

 

B.     Executive summary.  A 1/2 to 1 page brief of the paper.

 

C.    Management & Organizational Information Section.

Describe the history, environment and setting of your topic. This may include medical, social, legal, political and other non-quantifiable factors that have a bearing on the managerial situation.  Include all or any pertinent information as discussed above.

 

D.    Technical and Process Aspects of the Organization.

Discuss the technical aspects of the organization’s activities and services that you have observed.  How do the technical processes serve the organization? 

 

E.     Project Reports.

Report any project activities here.  You may have participated in one or more projects.  Discuss each separately using the format listed below. 

 

Discuss and define the specific problems, issues, and/or concerns creating the need for the project. 

 

Describe approaches that have been attempted to confront or solve the issue raised and will report on the results of these approaches.  You will also analyze the effectiveness of alternative approaches where possible.  This section does not necessarily have to include your own personal solution to the problem.  In some instances this may not be practical.  Depending on the status of the problem, you might have to discuss (a) "next phase" or "next step" solution(s).  Discuss the ramifications of solutions already tried, in the context of the environment of the health care organization you are working with.  Look at the success or failure of attempted solutions.  Avoid simplistic solutions and "quick fixes" to the extremely complex problems of health care and the organizations and health care professionals that deliver health care.  Discuss your role in organizing and managing the resources used to undertake the project.

 

Conclusions section.   Discuss the current status of the project and most likely trends affecting the topic.

 

References. Occasionally a document or report or other reference will be used in the execution of a project.  If so, the documents should be cited and listed alphabetically at the end of the paper.  Use the in-text citation method and follow the reference style guidelines from the Publication Manual of the American Psychological Association (5th Edition).

 

Appendices: (Type 1) Supporting material 

 

 Appendices: (Type 1) Supporting material such as computer printouts, data, models, charts etc. or (Type 2) Key reprinted articles that are the most informative and relevant and which you think the class should have to be best informed on your topic.

 

 

 

F.     Culture

      

Every organization has a unique culture.  This affects how people interact, how they do their work, how they get through the day.  It can affect how people relate after work hours.  Notice how people in the organization respond to management and to interactions with each other.  Discuss what you have learned about the culture and personality of the organization.

 

The student should take particular notice of the organization’s efforts to address the increasing diversity in the work place.  Discussions about this should take place between the student and the preceptor and documented in the final paper.

 

A critical issue in healthcare today is ethical behavior by healthcare providers.  In the workplace problems such as theft and scientific misconduct are common.  The issues of data privacy, reimbursement fraud, misuse of funds, and inaccurate record keeping have been covered in the academic classes within Health Sciences.  Explore these ethical issues that are pertinent to their internship site and discuss in your paper.

 

 

 

G.    Personal Management.

How did you manage your time?  Did you use tools such as a calendar, day-timer, PDA, or other means to keep you on track?  How do others in your internship organization (preceptor, other managers) stay organized and plan work so they meet deadlines?  Did you have any problems with meeting obligations such as being on time or completing work by scheduled times?  How did you find the experience of being at work by required times and fulfilling obligations to your liking?  What is the organizational culture of the organization?  Did you feel comfortable in that culture?

REPORT ORGANIZATION

 

Specific Format

 

The paper should be typed, with one-inch margins on the top, bottom, and sides. Use the Times-Roman 12 point font.   Double-space each section of the paper, including the title page and sections B through H (see above).  The paper should be between 10-12 pages, with up to 15 pages of appendices (either Type 1 or Type 2, see above).  Be sure to number each page and to use headings and subheadings to increase readability.
