A news release (also called a press release or media release) is an article on a newsworthy event sent to editors or news directors for publication or broadcast in the media. The term press release is still commonly used, although some practitioners are moving toward using the term news release.

“The primary reason for the press release is to get the public relations 117118message to the media and obtain coverage for the story,” according to Gerald Sherman and Sar Perlman (2010, p. 174). The information includes all the details about the event and is written to gain the attention of an editor or news director. How well the news release is written has a bearing on whether the message will be covered. If the editor or news director finds the message or event interesting and well written they will run the narrative in their media, frequently just as the release is written.

To gain the editor's or news director's interest, the news release should not be too long—usually one to three pages. Longer news releases lose the reader's attention. News releases should be mailed first class or e-mailed. News releases are not specific to fashion show publicity. Variations of style may occur, but they follow a general format and are used by any organization or individual wishing to publicize an event or brand.

Guidelines for News Releases

Each company, organization, or school typically develops its own guidelines for news releases. These guidelines provide a consistent and professional image for messages delivered from the group. Normally, the print release is prepared on 8 ½ by 11 inch paper or on the company's letterhead, which includes the logo. It is best to submit the release on white or light-colored paper using only one side. A clear, black typeface with an average font size of 10 to 12 points makes the release easy to read. The words News Release near the top of the page indicate that the document is an official news release. This allows the media to use any of the information from the release for its story and assures that all quotes have been approved for use by the attributed source (Sherman & Perlman, 2010). If letterhead is not used, the news release should include the company name, address, phone number, and e-mail address.

The headline is the first sentence of the news release, which sets the tone with a strong and appealing synopsis of the purpose of the release. The headline is frequently emphasized in a larger font size than the rest of the content. It should be centered and typed in sentence case, which means capitalizing the first word and any proper nouns. The headline should be the title of the release and include the news value of the story, using an action verb. It is not necessarily the title the publication will use for the story.

A dateline and release date should be included to inform the editor when the release should run in the media. The dateline refers to the opening of a news report that indicates where and when the story was written. For a print story, the dateline is traditionally placed in the first line of the text, followed 118119by two dashes, as shown in Figure 4.13. The date the news release is written is considered to be the release date. Editors prefer an actual date more than the statement “For immediate release.” The contact person's phone number and e-mail address should be near the top of the first page. This individual may be the publicist who wrote the news release or the promotion coordinator of a school show. Figure 4.13 illustrates a news release 119120written about Runway to Wonderland. This document was placed inside the media kit shell.
